Every week on The JD Fix, I talk about real job description issues and the fixes helping teams finally get organized. This week, it’s a big one: too many templates.
And the fix? One smart template. A few simple rules. Fewer emails asking, “Which one do I use?”
The problem
It always starts small. IT wants one version. Finance wants another. Marketing? Something totally different. You don’t want to say no, so you create a few options.
Before long, you’ve got 27 templates. No one’s sure which one is right. And people start making their own.
That’s exactly what happened with one of our insurance clients. Here’s what they asked for:
“We don’t want a million templates. We just want each department to have its own ‘About the Team’ section.”
The fix
Instead of building 27 versions, we used one core template in Ongig’s Text Analyzer. Then we created override rules.
Here’s what that means:
The system syncs with their ATS
It reads job data like department or location
Based on that info, it inserts the right “About the Team” section automatically
So if it’s an IT job, the system adds the locked IT content. If it’s finance, it pulls in that version. Same template. No copy and paste. No guessing.
This is what it looks like:
And here’s what makes it different. The sections are locked. That means no edits from hiring managers, no last-minute changes, and no legal issues after the fact. Just clean, approved copy, every time.
Why it works
Because it doesn’t rely on memory or manual work. You set the logic once. The system handles the rest.
It’s faster
It’s consistent
And it scales without becoming a mess
Now that insurance team has one template. One source of truth. And zero free-snack paragraphs sneaking into job posts.
Who this helps
This isn’t just for insurance teams. It works for:
Universities with a bunch of departments
Tech teams who need control and compliance
Anyone juggling custom content across hundreds or thousands of jobs
If you’re wasting time managing templates from the dark ages, this fix is worth a look.
